What it is and how it behaves.

What exactly is BookLine AI?

BookLine AI is an AI phone answering service for service businesses: salons, spas, dental offices, real estate offices, fitness studios and more. When customers call your business, the assistant answers in a natural voice, greets them, answers questions, books appointments and transfers to your staff when needed. It works 24/7, never takes a day off, and tells every caller it is an AI.

Does it actually sound like a real person?

It sounds natural and conversational. There are no robotic voices or press-1 menus; the assistant handles interruptions, understands context and answers in full sentences. It still introduces itself as an AI assistant on every call. The best way to judge it is to call the demo line at (866) 823-0175.

Will customers know they're talking to an AI?

Yes, always. Every assistant we build opens with your business name, then says the call may be recorded for quality assurance, then introduces itself as an AI assistant. Most callers just want their question answered or their appointment booked, and they can ask for a person at any time.

What happens if the AI can't handle a call?

The assistant is trained to recognize when a human is needed: complex requests, upset customers, or a direct ask like 'I need to speak to a manager.' It transfers the call to your staff and texts them a summary of the conversation so the customer doesn't have to repeat themselves. If nobody is available, it takes a detailed message.

Do I need any special equipment?

No. BookLine AI works with your existing phone setup, whether that's a landline, a cell phone, a VoIP service or a PBX. We handle the technical integration; you don't need to buy hardware or install software. If you want desk phones, extensions and ring groups, our hosted phone system is available as an add-on.

Can I keep my current phone number?

Yes. You have two options. Port your number: we move it onto our phone system and the AI answers every call directly, which is the cleanest setup. Or forward your calls: keep your number with your current provider and forward calls to BookLine AI, which is a good fit if you're not ready to port.

How long does setup take?

Most setups are complete in 3 to 5 business days. Cell phone forwarding can be same day, VoIP integration takes 1 to 2 days, and number porting takes 1 to 2 weeks depending on your carrier. We work around your schedule and can rush a setup when needed.

What booking systems do you integrate with?

Books directly: Google Calendar, Square Appointments (needs Appointments Plus or Premium) and our built-in appointments calendar. Reads availability: Vagaro. The AI checks your live availability on the call, then texts the caller your booking link or hands the request to your team. Also books directly: Acuity Scheduling (Premium plan). In development: Mindbody and Calendly. Even without a direct integration, the AI still takes messages and gathers booking details for you. Is my data secure?

Yes. Calls are encrypted in transit, data is hosted in SOC 2 Type II data centers, recordings are stored encrypted and accessible only to your account, and we never share your customer data. HIPAA compliance mode and a signed BAA are available for healthcare practices.

Pricing and billing

Fees, contracts and the guarantee.

What does the setup fee cover?

The one-time setup fee covers custom assistant configuration, training on your services, pricing and FAQs, phone integration (porting or forwarding), booking system connection, a staff training session, live testing and go-live support. It's white-glove onboarding; you don't have to figure anything out yourself. The fee is waived when you commit to a 12-month term.

Are there any hidden fees or call limits?

No hidden fees, and no per-call or per-minute charges. Every plan includes unlimited answering minutes. A fair-use cap of 1,000 to 2,000 minutes a month, depending on plan, protects against robocall storms and abuse. Ordinary businesses don't get near it (our busiest location uses about 135 minutes a month). If a legitimate business ever did, we would call first and suggest the next plan; if you'd rather stay put, minutes over the cap bill at $0.20 each on Essentials, $0.18 on Growth and $0.15 on Pro, never without that call.

Is there a contract or commitment?

No long-term contracts. Billing is month to month and you can cancel anytime; cancellation takes effect at the end of your current billing period. We want you to stay because BookLine AI works for your business, not because you're locked in. A 12-month term is optional and waives the setup fee. You can still cancel during the term; you repay the waived setup fee for the months you didn't complete (leaving after month 4 of 12 on Growth means $1,000 of the $1,500) and nothing else. After the term you're month to month, not auto-renewed.

What if I'm not satisfied?

We offer a 30-day setup guarantee. If your AI assistant isn't handling calls the way you want within the first 30 days, we'll refund your setup fee, no questions asked. Monthly service fees cover the service you used and are non-refundable, but you can cancel your subscription anytime after that with no penalty.

Can I change plans later?

Yes. Upgrade or downgrade at any time and we prorate the difference. Start on Essentials and later want warm transfers to your team, missed-call textback and the shared text inbox? Upgrade to Growth and we turn them on.

Features and functionality

Can the AI actually book appointments?

Yes, on every plan. With Google Calendar or Square Appointments connected, the assistant checks your real availability, finds an open slot and books it during the call, then texts the caller a confirmation. If you run Vagaro, the AI reads your live availability and either texts the caller your booking link or sends the request to your team. No back-and-forth, no phone tag.

How does call transfer work?

When a transfer is needed, the assistant tells the caller it's connecting them, rings your designated number (cell, desk phone or extension), and texts the person picking up who is calling and why before the phone rings. If nobody answers, it takes a message and lets the caller know.

Do I get recordings and transcripts of calls?

Yes. Every call is recorded, transcribed word for word and summarized in a short recap. All of it lives in your dashboard alongside the appointments, leads and texts the call produced, and you can have call summaries emailed to you.

Can I customize what the AI says?

Yes. During setup we configure the greeting and tone, your services, pricing and business hours, common questions and how to answer them, when to transfer versus handle a call directly, and after-hours behavior. We can adjust any of it later; just tell us what you want changed.

Does it work after hours?

Yes, 24/7/365. You can set different behavior for after hours: book appointments for the next business day, take detailed messages, transfer to the owner's cell for emergencies, or handle everything the same as daytime. No more losing customers to voicemail at 9 pm.

Can it handle multiple languages?

Spanish and English are included on the Pro plan. The assistant greets in the language you choose and can continue the conversation in either one. Useful for businesses in bilingual communities.

Support

Who is behind it when you need help.

What kind of support do you offer?

Every customer gets email support, help guides and ongoing tuning of the assistant as we review calls with you. Pro plans add priority support, a named contact who knows your setup, and a quarterly tuning call.

Does the AI tell callers it's an AI? Are calls recorded?

Yes to both, on purpose. Every BookLine assistant opens with your business name, then says 'This call may be recorded for quality assurance.', then introduces itself as an AI assistant. For example: Thank you for calling Bella's Salon. This call may be recorded for quality assurance. This is Jessica, an AI assistant. How can I help you today? Illinois and a dozen other states require all-party consent to record, and a growing number of states require bots to identify themselves. We handle that disclosure for you so a caller can never claim they were misled, and the recordings and transcripts in your dashboard are ones you can rely on. Callers can ask for a person at any time, recordings are stored encrypted, and you control retention.

What if something breaks?

We monitor the system around the clock and usually know before you do. There is automatic failover to backup systems, calls can be redirected straight to your phone if needed, and we notify you of any issue. Our uptime target is 99.9%. Your business can't afford missed calls, and neither can ours.
