AI receptionist

Features that work while you work.

An AI receptionist trained on your business answers every call, books appointments, transfers to your team and texts callers what they need. Here is everything it does, and what happens when it reaches the edge of what it knows.

Unlimited minutes on every plan. Set up for you in 3 to 5 business days.

What it does

Eight jobs your front desk does. The AI does all of them, on every call.

Answers every call

A natural voice, no "press 1" menus. It knows your services, prices and hours, handles interruptions and small talk, and sounds like your business, not a call center. Around the clock, including 2 am.

Books appointments

Checks your real calendar and books on the spot into Google Calendar or Square Appointments, with the right staff member and service. Reads Vagaro availability and texts your booking link. Handles reschedules and cancellations without staff. Every system, honestly

Transfers to your team

Handles what it can and brings in a person when it should: when the caller asks, when the question is outside what it knows, or by rules you set. Transfers by name, department or extension to a desk phone or a cell, with different rules after hours.

Recaps every call

Every call recorded, transcribed and summarized in two lines, so you know what happened without listening back. Search your history by date, caller or topic and play the recording when you need it.

Texts while it talks

Confirmations, directions and booking links texted to the caller during the call. Afterward, a shared text inbox where your team replies from one number, and caller details texted to staff before a transfer rings.

Reviews and missed-call textback

After the visit, a text asking for a Google review. If a call ever does ring out on a line the AI does not answer, the caller gets a text within moments so they do not book somewhere else. Both on Growth and Pro.

Spanish on Pro

On the Pro plan the assistant handles Spanish and English callers, so a neighborhood shop is not turning away half its street.

Knows your business

Services, prices, hours, policies, directions, parking, the questions you are tired of answering. We load it during setup, you edit it from your dashboard, and the AI uses it on the next call.

How transfers work

It knows when to hand off, and your staff never start from scratch.

Most answering AIs stop at "can I take a message." Ours came out of running phone systems for a multi-office brokerage, so it transfers like a receptionist who knows the building. It rings the right extension or cell, follows your ring groups and hours, texts the person who is calling before the phone rings, and falls back to voicemail-to-email or a message when nobody picks up. Works with your existing PBX or on ours.

  • Transfer by name, department or extension
  • Caller name and reason texted to staff first
  • Transfers when asked, when stuck, or by your rules
  • Different rules for evenings and weekends
  • No answer: message taken or voicemail to email
  • Your PBX (FreePBX, 3CX, forwarding) or our hosted system

Try it yourself

Call (866) 823-0175 and ask it what a caller would.

The demo line is the same assistant your customers would hear. Try saying:

  • "I need to schedule an appointment."
  • "How much does a haircut cost?"
  • "What are your hours on Saturday?"
  • "I need to reschedule my appointment."
  • "Can I speak to someone?"

Transparent by design

It says it's an AI. Every call, right after your name.

More than a dozen states require every party to consent before a call is recorded, and more states each year require bots to identify themselves. Our greeting handles both, so a caller can never say they were misled, and the transcripts in your dashboard are ones you can rely on. Anyone who asks for a person gets one.

"Thank you for calling Bella's Salon. This call may be recorded for quality assurance. This is Jessica, an AI assistant. How can I help you today?"

Questions owners ask

Questions owners ask about features.

Can the AI actually book appointments?

Yes. It checks live availability and writes the appointment during the call into Google Calendar or Square Appointments (Square needs Appointments Plus or Premium). If you run Vagaro, it reads your live availability, then texts the caller your booking link or hands the request to your team. Acuity Scheduling (Premium plan) books directly as well. Mindbody and Calendly are in development. The caller gets a confirmation text either way.

How does a call transfer work?

The AI tells the caller it is connecting them, rings the desk phone, cell or extension you chose, and texts that person who is calling and why before they pick up. If nobody answers, it takes a message or drops to voicemail-to-email, and you see the whole thing in your dashboard.

Do I get recordings and transcripts?

Every call is recorded, transcribed and summarized. Open any call in your dashboard to read the transcript, play the recording or skim the two-line summary. Appointments, leads and texts sit in the same place.

Can I change what the AI says?

Yes. During setup we configure the greeting, voice, services, prices, hours, what it answers on its own and when it transfers, plus how it behaves after hours. You can update the knowledge it works from in your dashboard, or tell us and we make the change.

Does it work after hours?

Yes, around the clock. You can give it different rules for evenings and weekends: book for the next open day, take a detailed message, or transfer real emergencies to a cell. Nobody reaches voicemail at 9 pm unless you want them to.

Can it handle Spanish?

On the Pro plan the assistant handles Spanish and English callers. Ask us about other languages.

Will callers know they are talking to an AI?

Yes, on purpose. Right after your business name it says the call may be recorded for quality assurance, then introduces itself as an AI assistant. Anyone who asks for a person gets one.

Hear every feature on one call.
