How consent is collected, what we send, and how to stop messages

BookLine AI answers the telephone for local businesses such as salons, medical spas, dental offices and real estate offices. When a business asks us to, we also send text messages to its customers on its behalf. Each business messages from its own phone number, and the messages identify that business by name. This page describes how someone comes to receive those messages and how they stop.
1. Who the messages come from
Every message is sent for one specific business and names that business in the body of the message. BookLine AI operates the messaging service on the business's behalf. A message will look like this, using a fictional business for illustration:

United States carriers do not allow a business name to appear in place of the sender's phone number, so messages arrive from a number rather than a name. The business is identified in the message itself.
2. How consent is collected
Consent is verbal, and it is given on a recorded telephone call that the customer placed to the business.
When someone calls a business we answer, our assistant takes the details of what they need. Before any text message is sent, the assistant asks for permission in these words. The wording is fixed; only the business name changes, and the fictional business below stands in for it:
Is it alright if we text you about your appointment? You'd get appointment confirmations and reminders from Riverbend Med Spa, message frequency varies, message and data rates may apply, and you can reply STOP at any time to stop them.
Messages are sent only if the caller answers yes. A caller who declines is added to a suppression list for that business and is not messaged.
Consent is never a condition of receiving service, and it is never collected from a purchased list, a third party or a website visitor who did not ask for it. We do not add anyone to messaging because they filled in a form, walked into the business or appear in the business's customer records.
2.1 What we record
Every time someone agrees, we write a dated record holding:
- The telephone number that consented
- The date and time consent was given
- The exact wording that was read aloud to them, and the version of that wording
- The identifier of the recorded call on which it was given
This means an individual opt-in can be produced on request, together with the call it came from. If the wording above changes, the version is incremented so that older records remain attributable to the wording that was actually used at the time.
3. What we send
- Appointment confirmations when an appointment is made
- Appointment reminders before an appointment
- A link to the business's own online booking page, when the caller asked for one
- A follow-up after a missed call, so the caller can reply rather than call back
- A request for a review after a completed visit, where the business has enabled it
We do not send marketing or promotional campaigns, and we do not send content on behalf of anyone other than the business the customer called.
4. Message frequency and cost
Message frequency varies and depends on how often the customer books with that business. Most recipients receive a small number of messages around each appointment. Message and data rates may apply, depending on the recipient's mobile plan.
5. How to stop messages
- Reply STOP to any message to stop all further messages from that business. A single confirmation is sent and nothing is sent afterwards.
- Reply START to begin receiving messages again.
- Reply HELP to receive the business name and a support contact.
- Telling the business directly, by telephone or in person, also works. We will record the opt-out.
Opt-outs are recorded per business and take effect immediately.
6. Mobile information and third parties
No mobile information will be sold or shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third party, other than the messaging providers required to deliver the message itself.
We use licensed telecommunications carriers to transmit messages. These providers process the message in order to deliver it and are not permitted to use it for their own purposes. Our general handling of personal information is described in our Privacy Policy.
7. Calls, recording and AI disclosure
Consent is captured on a call that is answered by an AI assistant. That assistant identifies the business, states that the call may be recorded for quality assurance, and states that it is an AI assistant, before the conversation begins. Details are on our AI disclosure and recording page.
