Which booking systems can an AI receptionist actually book into?
Some booking systems let outside software write appointments. Some do not, and no vendor can change that. Below is what each system permits, what we have actually built and tested against a live account, and what happens on a real call today.
Three things, all required.
"Booking" only means something if all three of these work. Vendors and vendors' marketing pages routinely deliver one or two and call it an integration.
Create a client
Someone phoning a salon is usually not in the database yet. If the API cannot add them, nothing downstream works. This is the requirement systems quietly fail, and it is fatal on its own.
Create an appointment on the real calendar
Not a request queue somebody has to approve by hand. The slot is taken the moment the caller says yes.
Read live availability
Per service and per provider, so the AI offers times that genuinely exist instead of guessing from your hours.
The vendor's side: what their API permits any developer to do.
This is not a claim about what we have built. That is the next table. Keeping those two ideas separate is the entire point of this page.
Paid plan requiredSelf-serve OAuth and the best-documented booking API in this market. The catch, which we confirmed by testing against a live Square account rather than reading the docs: on the Free plan an outside system can read your services, your staff and your real availability, but any attempt to write a booking returns "Merchant subscription does not support write operations." Booking on your behalf requires Appointments Plus ($49/mo per location) or Premium ($149/mo). In practice most shops with more than one chair are already on Plus, since Free only supports a single staff calendar. Note too that the Bookings API stays completely closed until you finish Appointments onboarding. Adding a service to your item catalog is not the same thing.
Our side: what happens on a real call today.
A green row above means the vendor permits it. It does not mean we shipped it.
It matters far less than you would think.
The expensive problem in a salon or barbershop is not data entry. It is the call that rings out while everyone's hands are busy, and the caller who books somewhere else forty seconds later.
An AI receptionist that answers every call, knows your prices and hours, texts the caller your booking link while they are still on the phone, and puts the ones who need a person straight through to you, recovers nearly all of that revenue. Writing the appointment row is the last five percent.
Be suspicious of anyone who promises calendar writes into Fresha, GlossGenius or Booksy. There is no API to do it with.
Common questions.
Can an AI receptionist book directly into Vagaro?
Not with BookLine today, and we would be cautious about anyone who says otherwise. Vagaro's API does expose customer-creation and appointment-creation endpoints, but we have not yet validated a real booking end to end, so we describe our Vagaro support as read-and-request: the AI reads live availability on the call, then routes the request to your team or texts the caller your booking link.
Which salon booking system works best with an AI receptionist?
Square Appointments, with one caveat. Its API supports all three requirements, creating a client, creating an appointment and reading live availability, and the OAuth is self-serve. The caveat: booking on a seller's behalf requires an Appointments Plus ($49/month per location) or Premium subscription. Square's Free plan cannot be booked into by outside software. Most shops with two or more staff are already on Plus, since Free only supports one staff calendar. Acuity is the next best for solo operators, and Mindbody works well for larger studios.
Can an AI receptionist book into Booksy, Fresha or GlossGenius?
No. Booksy and GlossGenius have no public API, and Fresha offers only a read-only reporting connector with no merchant write access. Any vendor claiming live calendar writes into these systems is describing something else, usually emailing your front desk a request.
What if I don't use booking software at all?
That is the simplest case. BookLine has its own booking built in, and Google Calendar works too. The AI checks availability, books during the call, prevents double-bookings and texts a confirmation. Plenty of shops run entirely on it.
Why does this page list things you haven't built?
Because you are going to find out during onboarding anyway, and finding out then is worse for both of us. If a booking system matters to your decision, ask us where it stands before you sign anything. We will tell you exactly what this page says.
Pick your system and read exactly what happens on a call.
Each page separates what the vendor allows from what we have built, lists what you need on your side, and shows a realistic call.
Books on the call
Reads availability, then texts the link
Vendor allows it, connection in development
Partner-gated by the vendor
No booking API
Not sure what you are running?
Tell us what you book on and we will tell you plainly what we can and cannot do with it, before you pay for anything.
