AI receptionist for med spas and aesthetics clinics

Every missed call is a high-ticket consult lost.

Botox, filler and laser packages are some of the biggest tickets in any service business, and the caller asking about them rarely leaves a voicemail. Your AI receptionist answers every call, books consultations, and handles pricing questions while your team is with patients, 24/7. It tells callers it's an AI, and it never gives medical advice.

Works with Square Appointments, Google Calendar, Vagaro, your desk phones
Sample call · Lumina Aesthetics (example)0:42
Hi, I'm interested in lip filler. Can I get a consult this week?
Yes. For a consult I have Thursday at 2:00 or Saturday at 10:00 with our nurse injector. Which works better?
Thursday at 2:00, please.
Booked for Thursday at 2:00. I've sent a confirmation text with our address and your pre-visit instructions.

The cost of a missed call at a med spa

Your front desk can't answer mid-treatment, and consults don't wait.

Calls go unanswered

While your injector is with a patient and the front desk is checking someone in, the phone rings out, and the caller books with the med spa down the road.

The biggest ticket you never saw

A filler touch-up becomes a full syringe. A laser inquiry becomes a six-session package. A missed call is that revenue walking away.

Empty treatment-room hours

No-shows drop when patients get a confirmation text with what to expect. The AI sends one the moment it books, because an empty injector hour is revenue you never get back.

Built for how med spas actually work

An AI receptionist that knows the aesthetics business.

Consultation booking

Books consults and treatments on the call. Checks provider availability and treatment duration against your calendar, even at 11 PM.

Treatment and pricing info

Answers Botox per-unit pricing, filler by syringe, laser package tiers and membership questions from your own menu.

New-patient intake

Captures name, contact details and the treatment they're interested in, and texts your team the summary so consults arrive prepared.

Confirmations and pre-care

Sends a text with the appointment details and your pre-treatment instructions, which cuts down on no-shows on your injector's schedule.

Careful with health information

The AI never gives medical advice, recordings and transcripts are limited to the people you authorize, and we provide a Business Associate Agreement for review and sign it once our vendor agreements are executed.

Clinical question transfers

Candidacy and post-treatment questions transfer to your nurse or provider during hours, or become a detailed callback message after hours.

Booking, honestly

Where the AI books for real, and where it can't yet.

Square Appointments and Google Calendar get booked during the call, with double-booking protection. Vagaro lets us read your providers' live availability but not write to it, so the AI texts the patient your booking link or hands the request to your front desk. Acuity Scheduling (Premium plan) books directly as well. Mindbody is in development, and until it ships the AI answers, screens and texts your booking link.

How it works

Live in days, not months.

Tell us about your med spa

Your treatment menu, providers, pricing, and how you want clinical questions handled. One short call.

We build your receptionist

We configure the assistant in your voice, connect Square Appointments or Google Calendar, and walk through the BAA with you.

Test together, then go live

You call it, we tune it for your brand, and we flip your forwarding when it sounds like your practice.

Try it yourself

Call (866) 823-0175 and ask it what a caller would.

The demo line is the same assistant your customers would hear. Try saying:

  • "I'd like to book a Botox consult"
  • "How much is lip filler?"
  • "Do you have anything available this week?"
  • "Can I speak to the nurse about my last treatment?"

Transparent by design

It says it's an AI. Every call, right after your name.

More than a dozen states require every party to consent before a call is recorded, and more states each year require bots to identify themselves. Our greeting handles both, so a caller can never say they were misled, and the transcripts in your dashboard are ones you can rely on. Anyone who asks for a person gets one.

"Thank you for calling Bella's Salon. This call may be recorded for quality assurance. This is Jessica, an AI assistant. How can I help you today?"
Questions owners ask

Questions med spa owners ask.

Is BookLine AI HIPAA-compliant for med spas?

We take patient information seriously. We provide a Business Associate Agreement (BAA) for review and sign it once our vendor agreements are executed, access to recordings and transcripts is limited to the people you authorize, and the AI never gives medical advice. Ask us for the BAA and we'll walk you through exactly how call data is stored and who can see it.

Can the AI answer pricing questions about Botox, filler and laser packages?

Yes. During onboarding we train the AI on your full treatment menu: per-unit Botox pricing, filler by syringe, laser package tiers, memberships and current promotions, so callers get accurate answers instead of voicemail.

Will it book consultations into my scheduling software?

Square Appointments (Plus or Premium) and Google Calendar get booked directly during the call, with double-booking protection for your injectors and providers. With Vagaro the AI reads live availability and routes the request to your team. Acuity Scheduling (Premium plan) books directly as well. Mindbody is in development, and until then the AI answers, screens and texts your booking link.

What happens when a caller asks a clinical or medical question?

The AI never gives medical advice. Clinical questions about candidacy, contraindications or post-treatment concerns are transferred to your nurse or provider during business hours, or captured as a detailed message with a callback promise after hours.

Does it tell callers it's an AI?

Yes. Right after your practice's name it says the call may be recorded for quality assurance, then introduces itself as an AI assistant. Patients can ask for a person at any time and the call transfers to your front desk or provider.

Do I need to change my phone number?

No. We forward your existing med spa line to the AI, or port it onto our phone system if you want desk phones too. Patients keep calling the same number they always have.

How long does setup take?

Most med spas go live within 3 to 5 business days, including training the AI on your treatment menu, connecting your booking system and reviewing the BAA.
