Every patient call answered, even mid-exam.
Your desk is checking in patients, pulling frames and verifying benefits while the phone rings. BookLine AI answers 24/7, books exams and contact lens fittings, handles the routine questions, and routes urgent eye problems the way you tell it to.
One desk, two jobs: the patient in front of you and the one on the phone.
Calls come when nobody can answer
Lunch, pretest, frame styling and after close. The hours patients are free to call are the hours your desk isn't free to pick up.
A new patient is an exam and a sale
An exam plus a frame-and-lens purchase goes to the practice whose phone got picked up first.
The recall cycle is at stake
A patient you miss once isn't one visit. It's every annual exam and lens reorder after it.
An AI receptionist that knows an exam from a fitting from an emergency.
Books the right visit type
Annual exam, contact lens fitting, pediatric visit or medical follow-up, each booked at the right length with the right doctor. It asks whether the patient wears contacts and has been seen before.
Triages urgent eye problems
Injuries, chemical splash, sudden vision loss, or new flashes and floaters follow the escalation script you approve: emergency care or your on-call doctor, never a guess.
Answers vision plan questions
Tells patients which plans you accept, what a self-pay exam costs and what to bring, and hands real eligibility checks to your staff.
Handles "are my glasses ready?"
Covers your turnaround times and pickup details, and sends specific order questions to your optical team by text with the patient's name and number attached.
Recall and reschedule calls
Patients calling back about a due exam or a cancellation get rebooked on the spot instead of landing in a voicemail queue.
Transfers when it should
Calls that need a person go straight to your desk or a specific extension, with the caller's details texted ahead.
Where the AI books for real, and where it can't yet.
Google Calendar and Square Appointments get booked during the call, with double-booking protection. Acuity Scheduling (Premium plan) books directly as well. Calendly is in development. Optometry practice management systems are request based today: the AI collects the patient's details, visit type and preferred times and sends the request to your desk to enter. We say that plainly because you'd find out on day one anyway.
Every system, one pageLive in days, not months.

We build your receptionist
It answers 24/7, books the correct visit type, confirms callback numbers digit by digit, escalates urgent calls, and sends your desk a summary of every conversation.
Review the BAA, test, go live
We walk through the Business Associate Agreement, test the line with your team including the emergency paths, and flip your forwarding when it sounds right.
Call (866) 823-0175 and ask it what a caller would.
The demo line is the same assistant your customers would hear. Try saying:
- "I need to schedule an annual eye exam"
- "Do you take EyeMed?"
- "Are my glasses ready for pickup?"
- "Something is stuck in my eye"
It says it's an AI. Every call, right after your name.
More than a dozen states require every party to consent before a call is recorded, and more states each year require bots to identify themselves. Our greeting handles both, so a caller can never say they were misled, and the transcripts in your dashboard are ones you can rely on. Anyone who asks for a person gets one.
Questions practice owners ask.
Is BookLine AI HIPAA-compliant for eye care practices?
We run eye care practices in HIPAA-aware mode: protected health information is masked in transcripts and email summaries, data is encrypted at rest, access to recordings is role-gated, and we provide a Business Associate Agreement for review and sign it once our vendor agreements are executed. The full list of safeguards is on our HIPAA page at /hipaa.
Can it book different appointment types with the right length?
Yes. A routine annual exam, a contact lens fitting or follow-up, a pediatric exam, and a medical visit for dry eye each get the appointment length and doctor you assign them. The AI asks whether the patient wears contacts and whether they have been seen before, so the slot it books matches the visit you actually need to run.
Will it integrate with my scheduling software?
Google Calendar and Square Appointments (Plus or Premium) get booked directly during the call. Acuity Scheduling (Premium plan) books directly as well. Calendly is in development. For optometry practice management systems the AI takes the booking request with the patient's details and preferred times and sends it to your desk to enter.
How does it handle vision insurance questions?
It tells callers which vision and medical plans you accept, what a new-patient exam costs without insurance, and what to bring. It does not verify benefits or quote coverage amounts. Eligibility questions are captured with the patient's plan details and handed to your staff, so nobody is quoted a number you would have to walk back.
What happens if someone calls with an urgent eye problem?
Urgent symptoms follow the triage script you approve. Sudden vision loss, eye injury, chemical splash, or a burst of new flashes and floaters are directed to emergency care immediately. Other same-day concerns like red eye or a stuck contact lens are transferred to your on-call doctor or flagged for an urgent slot. The AI never diagnoses and never gives clinical advice.
Does it tell callers it's an AI?
Yes. Right after your practice's name it says the call may be recorded for quality assurance, then introduces itself as an AI assistant. Patients can ask for a person at any time.
Do we have to change our practice phone number?
No. We forward your existing practice line to the AI, so patients keep calling the number on their card and your website. Most practices ring the front desk first and let calls roll to the AI at lunch, after hours, or when the desk is on another line. Most eye care practices are live within 3 to 5 business days.
