AI receptionist for gyms and fitness studios

Sign more members. Answer every call.

Your front desk is coaching, spotting and running class, not sitting by the phone. BookLine AI answers every call, books trial classes and tours, and captures every membership lead, 24/7. It tells callers it's an AI, and it can always transfer to the desk.

Sample call · Iron Peak Fitness (example)0:41
Hi, I just moved to the area. Do you offer a trial class?
We do, and your first class is free. I have Tuesday at 6:00 PM for HIIT or Saturday at 9:00 AM for strength. Which works better?
Saturday at 9:00 works for me.
You're set for Saturday at 9:00. I'll text you the details, and a coach will meet you at the front desk.

The cost of missed calls

Every unanswered ring is a membership that signs up somewhere else.

Calls go unanswered

Your team is mid-class or spotting a lift. The phone rings and nobody picks up.

A lead that rarely calls twice

A prospective member calling about pricing is months of dues in lifetime value, and most of them move on to the next gym on their list.

Calls come after hours

People research gyms at night and on weekends: schedule questions, pricing, trial classes. Voicemail loses them.

Built for how gyms and fitness studios actually work

An AI receptionist that knows the fitness business, from big-box gyms to one-room yoga, pilates, CrossFit, martial arts and personal training studios.

Trial classes and tours

Books trial classes, intro sessions and facility tours on the call. Those are the calls that turn into memberships.

Class schedule answers

"What time is the 6 AM class?" answered from your schedule, coaches and formats, without pulling anyone off the floor.

Membership and pricing

Explains membership tiers, drop-in rates and promotions accurately, then captures the caller's name and number.

Lead capture and staff texts

Every prospective member's name and number is captured, and your staff gets a text summary after the call so someone is ready to greet them.

Freeze and cancellation requests

Follows your policy, takes the member's details, and routes the request to your team or transfers to the desk. No angry voicemails.

Never off the clock

Late-night researchers, lunch-hour callers, weekend inquiries. Every one reaches a receptionist instead of a voicemail box.

Booking, honestly

Where the AI books for real, and where it can't yet.

Square Appointments and Google Calendar get booked during the call, so trial classes, intro sessions and tours land on your calendar before the caller hangs up. Mindbody is in development. Until it ships, the AI answers, screens the lead, texts your booking link, and texts your staff the details.

How it works

Live in days, not months.

Tell us about your gym

Class schedule, membership pricing, coaches, policies, and how you want calls handled. One short call.

We build your receptionist

We configure the assistant in your voice, connect Square Appointments or Google Calendar, and set up staff text alerts and transfers to the desk.

Test together, then go live

You call it, we tune it, and we flip your forwarding when it sounds like your gym.

Try it yourself

Call (866) 823-0175 and ask it what a caller would.

The demo line is the same assistant your customers would hear. Try saying:

  • "I'd like to try a class"
  • "How much is a membership?"
  • "What's your class schedule this week?"
  • "Can I book a tour of the gym?"
(866) 823-0175
Transparent by design

It says it's an AI. Every call, right after your name.

More than a dozen states require every party to consent before a call is recorded, and more states each year require bots to identify themselves. Our greeting handles both, so a caller can never say they were misled, and the transcripts in your dashboard are ones you can rely on. Anyone who asks for a person gets one.

"Thank you for calling Bella's Salon. This call may be recorded for quality assurance. This is Jessica, an AI assistant. How can I help you today?"
Questions owners ask

Questions gym and studio owners ask.

Will it integrate with my gym management software?

Google Calendar and Square Appointments (Plus or Premium) get booked directly during the call, with double-booking protection. Acuity Scheduling (Premium plan) books directly as well. Mindbody is in development. Until then the AI answers, screens the caller, texts your booking link, and texts your staff the lead.

Can it book trial classes and gym tours?

Yes. Trial class bookings and facility tours are the calls that turn into memberships, so the AI is trained to prioritize them. It offers open slots, books the visit, captures the prospect's name and mobile number, and texts your staff a summary so someone is ready to greet them.

Will it know my class schedule and membership pricing?

Yes. During onboarding we train the AI on your full class schedule, membership tiers, drop-in rates and policies. It answers "what time is the 6 AM class" and "how much is a membership" accurately, and you can update it from your dashboard.

How does it handle cancellation or membership freeze requests?

The AI follows your policy. It can explain your freeze and cancellation process, take the member's details, and text your team a summary so a staff member follows up, or transfer the call to the front desk when someone is available.

Does it tell callers it's an AI?

Yes. Right after your gym's name it says the call may be recorded for quality assurance, then introduces itself as an AI assistant. Anyone who asks for a person gets transferred to the front desk, or leaves a message that's texted to your staff.

Do I need to change my gym's phone number?

No. We forward your existing line, or port it onto our phone system if you want desk phones too. Members and prospects keep calling the number they know.

How long does setup take?

Most gyms and studios go live within 3 to 5 business days, including training the AI on your schedule and pricing and connecting your calendar.
